Planning School Window Projects Around the Academic Calendar

School window projects are easier to manage when timing is considered early. Classrooms, hallways, gyms, offices, and other occupied spaces may all be affected differently throughout the school year, so the academic calendar can be an important part of project planning.

Summer break is an obvious opportunity for larger or more disruptive work, but it is not the only option. Smaller repairs, inspections, or targeted projects may be completed during the school year when access can be coordinated around class schedules, testing periods, events, and other building activities.

The size and scope of the project should help determine the best approach. A district-wide repair program may need to be phased across multiple buildings, while a smaller project may be scheduled around weekends, breaks, or lower-occupancy periods. Planning ahead gives facility teams more flexibility instead of forcing every project into the same narrow window.

Material availability and project preparation also matter. Measurements, evaluations, parts identification, ordering, and scheduling can all take time. Starting the process before a preferred work period arrives can make it easier to coordinate the work and reduce last-minute delays.

It is also worth considering that many schools remain active during summer months. Administrative staff, maintenance teams, summer programs, athletics, and other activities can still affect access. The goal is not simply to find an empty building, but to identify the time and phasing that create the least disruption for that particular facility.
